HELPFUL TRAVELLING HINTS

Passports: All guests should carry a valid passport. Entry requirements: Please pay special attention to this information shown on home page.

Carbon Offsetting: SRI in the Rockies is pleased to inform you that coach transportation between the Vancouver International Airport and Whistler will be assessed and offset on your behalf.

Facilities: All motorcoaches will be equipped with washrooms, however we suggest you use the washroom facilities located in baggage reclaim, as there may be smaller vehicles used for some transportation that do not have on board facilities.

Snacks: * Due to reduced airline snack service and transfer time to Whistler, we suggest you bring some provisions; granola bars, packages of dried fruit and nuts.

*Please adhere to individual airline conditions of carriage in relation to what you can/can’t bring on board.

NOTES ABOUT TRANSPORTATION  

• Transfers are included in registration costs for all registered conference participants.
• Spouses/Partners/Guests will be required to register through First Affirmative, in order to pay for the cost of transportation.
  Please note that guests will not able to add on at the airport. They MUST REGISTER THROUGH FIRST AFFIRMATIVE BY OCTOBER 11 and fill out the Cantrav form to reserve a seat. In addition, these folks can be included in the “Accompanying person information” section of the conference participant’s TRANSFER BOOKING FORM, to indicate preference to travel together.
• Spouses/Partners/Guests: Please note that accompanying persons must register and pay though SRI in the Rockies prior to October 11 if they will be riding on a coach. Spouses/Partners/Guests must have a paid registration in their name and submit the Transfer Booking Form or be included in the “Accompanying person information” section of the conference participant’s TRANSFER BOOKING FORM by October 11. All reservations must be made by October 11, 2008.
• Please specify whether you require transportation from the airport or a downtown location.
• Please note that if you are staying in Vancouver pre/post conference, you will have to cover the cost of local transfers to and from hotel to airport or vice versa.
• There will be central downtown pick up and drop off on October 22nd - 30th. Once registered you will receive an e-mail confirmation.

Final transportation confirmation will be sent to you one week prior to arrival.

US INTERNATIONAL AIRPORT ARRIVAL PROCEDURES

Disembark aircraft.

Proceed to immigration area: please ensure you have your passport ready.

Please ensure that you fill out your Canadian landing card correctly and if a conference delegate, that you tick the reason for travelling to Canada - On Business, rather than pleasure.

During the hours of 11am to 2pm there is a concentrated amount of international flight arrivals therefore there may be delays getting through immigration lines.

Please keep immigration card ready.

Proceed to baggage reclaim where (Oct 22- 27) Redcap porters carrying SRI in the Rockies signage will be available to assist with your luggage.

Once you have your luggage (free trolleys available) exit Customs.

You will now enter the International Reception Lobby where uniformed staff will be holding easily visible SRI in the Rockies signage.

You will then be directed to transportation.(There may be times during main conference arrival days where you will be asked to wait a short while for your transportation; staff will clearly communicate this to you).

DOMESTIC AIRPORT ARRIVAL PROCEDURES

Disembark aircraft.

Proceed to baggage reclaim where Redcap porters carrying SRI in the Rockies signage will be available to assist with your luggage on Oct.26th and 27th. Outside of these dates free trolleys are available for your use.

Once you have your luggage you will be in the main arrivals area.  As this area is very open, please look for uniformed staff carrying SRI in the Rockies signage.

Once you have located uniformed staff they will then assist with your transfer.(There may be times during main conference arrival days where you will be asked to wait a short while for your transportation; staff will clearly communicate this to you).

Please note that all US guests will clear US Customs in Vancouver.

Allow 5 hours prior to your flight departure time to allow for 2.5-3 hour transfer from Whistler to Vancouver and a 2 hour check-in time. This time may change slightly for early morning departures.

Please adhere to departure times posted; there may be guests on earlier flights than yours who are travelling.
